KYC software is judged on one thing and it is not the onboarding screen. It is whether, eighteen months after a customer was taken on, you can produce the file: what identity and ownership evidence was collected, what risk rating it was given and on what basis, who approved it, and the date somebody last looked at it again. Most firms can show the first customer they onboarded and not the four hundredth, because the evidence went into a shared drive and the review date went nowhere. A record is created the moment a customer is taken on, with the identity and ownership evidence attached to it rather than mailed around it, and the person who collected each item named against it.

Rate them, and let the rating set the clock

Standard, higher or enhanced. The rating decides which evidence the file has to hold and how many months until it comes back, so a customer rated up in March is on the shorter clock from March and not from the next annual sweep.

Each file carries its next review date and the reminder goes to whoever owns that customer. What you look at, what changed and what you decided is written onto the same record, so the history is the file rather than an email thread beside it.

What a compliance owner asks before running the KYC software

Is this a KYC screening or verification tool? No, and it is worth being blunt about it. Clientvo runs no sanctions, PEP or adverse-media screening, captures no identity documents and monitors no transactions. It records that a check was run, by whom, when and what it returned, and it keeps that alongside the rest of the customer file. If you need the check itself performed you will buy that from a screening or identity vendor and put the result here.

What does a customer file actually have to hold? That depends on what you are and who your customers are, and this is the point where software stops and your own policy starts. What is common to nearly every version of it: the customer identified, the individuals behind a company customer identified, a risk rating with a reason, an approval where the rating warrants one, and evidence that the file has been looked at since. We already have a spreadsheet. What changes? The review date, mostly. A spreadsheet is a fine list of customers and a terrible clock: nothing in it tells anyone that the file opened in March is due in March two years later, and nothing in it records that Priya rather than Sam approved the rating.
